Template description
Submit purchase request sits at the top and drops into the Manager review diamond. Approve continues down into Budget check, while Send back curves up to the request, so a rejected draft stays on the page. Within budget moves on to Compliance review. Over budget steps through Revise request and returns to that same request box, which means another over-budget result will loop again. Cleared raises a purchase order at once. Need info does not: it passes through Share docs with sourcing team and only then joins the purchase order. Past that join the line is shared. Notify supplier leads to Inbound delivery, then Post goods receipt, then Process complete.
When to use it
Use it when a regional buyer, finance, and the warehouse are still telling three versions of what send it back means. It is also the picture to hand a new buyer who needs to see that a purchase order cannot start until compliance clears the file or sourcing has shared the missing documents.
How to adapt it
Rename Submit purchase request to your form name, and write the real amount threshold on the Within budget and Over budget branches. Delete Share docs with sourcing team if that detour never happens, and point Need info at the pause you actually use. Add another diamond only for a team that can truly stop the order. Keep both return arrows aimed at the request unless your rule really restarts with the manager.
